What you'd use it for

Getting a quick answer, draft or summary out of your own Gmail, Docs, Sheets and Drive files without leaving Google or uploading anything.

  • Summarise a long email thread or Drive document by mentioning it in a chat, without opening the file first
  • Draft a reply, memo or spreadsheet formula grounded in files you have connected, not just general knowledge
  • Generate images from a text prompt with Nano Banana 2 on the free tier
  • Run a multi-step Deep Research pass that reads across the web and returns a written report
  • Talk to it hands-free through Gemini Live and get a spoken answer back

The verdict

Worth having if you already live in Gmail, Docs and Sheets: it can ground an answer in files you never have to upload, which ChatGPT and Claude cannot do unless you feed them the file first. As a general chat assistant on its own it is merely competent, a peer to the others rather than ahead of them. The genuinely useful part, Gemini appearing inside Gmail and Docs rather than a separate chat window, sits behind the paid AI Plus plan, not the free tier. It answers when asked and will not run anything on a schedule.

What you need to start

  • A Google Account
  • A Google AI Plus subscription or higher to get Gemini surfaced inside Gmail, Docs and Sheets rather than just chat
  • A credit card on file for any paid tier, including the cheapest Plus plan

A couple of minutes to a working free chat account; add a paid plan first if you want Gemini appearing inside Gmail or Docs rather than answering only from chat.

Your first run Sign in with an existing Google Account at gemini.google.com and you are in a working chat within a minute; mention Gmail, Drive or a specific document in your first prompt and it summarises or drafts from that file straight away, no upload required.

Where it breaks

Google prices these plans in local currency and shows a different figure in every country — the numbers above are the US rates, and if Google geo-detects you elsewhere you will be quoted something else on the actual page, so check your own rate before budgeting. The plans are bundled with Google One storage, which makes it hard to see what you are paying for the AI as opposed to the terabytes. And the free tier's access to the better models is described by Google as "varying", which in practice means it changes without notice.

Browser, Android and iOS, plus in-product surfaces inside Gmail, Docs, Sheets, Slides and Drive. There is no separate desktop application — the Workspace integration is the desktop story.

When not to use it

Not for a business running on Outlook, Notion or anything outside Google, where the whole advantage of reading your own files disappears and you are left paying for a chat assistant with no edge over the others. Not for anyone expecting the free tier to put Gemini inside Gmail and Docs; that requires AI Plus at minimum.

If your business already runs on Gmail, Drive and Sheets, this one starts from a position nothing else can buy: it is looking at your actual documents without you uploading anything.

That is the whole argument. As a chat assistant in isolation, Gemini is a reasonable peer to ChatGPT and Claude, and the differences are matters of taste. As a thing sitting inside the inbox where your quotes and complaints already live, it is doing a different job — summarising a thread you never opened, drafting the reply underneath it, pulling last quarter’s figures out of a sheet you would otherwise have had to find first.

The part worth reading twice

Pricing is bundled with Google One storage and quoted in local currency at figures that differ sharply between countries. Check your own rate before budgeting from anyone else’s article, this one included.

Where it stops

Gemini answers when asked. It does not watch your inbox and act on it, and the Workspace features are assistive rather than autonomous. Work that has to happen on a schedule still belongs in Make or n8n.

The narrower Google tool worth knowing about is NotebookLM, which answers only from documents you hand it. When the risk you are managing is a confident answer drawn from somewhere other than your own files, that constraint is the whole feature.
