Pipefy
A no-code process manager for approvals and intake — expense requests, onboarding, procurement — where AI drafts the workflow instead of you designing it from a blank canvas.

Where it breaks
Browser-based Kanban-style process builder; forms and approval steps are configured visually rather than coded.
First entry in this reference. There is no previous check to compare it against.
Approvals and intake forms are the unglamorous plumbing of running a business — an expense request needs a manager’s sign-off, a new hire needs a dozen small steps completed in order, a vendor request needs procurement to weigh in before anyone spends money. Pipefy turns each of those into a visual process board: a request enters, moves through defined stages, and each stage has whoever needs to approve it attached.
Once a process is built, it runs on its own trigger — a new form submission starts a card moving through the pipeline without anyone opening Pipefy to push it along.
What the AI actually does
Rather than designing the approval flow from a blank canvas, you describe the process and Pipefy AI drafts the stages, forms and rules for you to adjust. For someone who has never built a workflow tool before, that removes the steepest part of the learning curve — the blank-page problem, not the logic itself.
Free is a genuinely usable starting point
Five processes and ten users covers a real small business’s first few workflows without paying anything, which is unusual generosity for this category. The jump to Business is where the real gate sits — unlimited processes and API access require a sales conversation and per-user pricing that isn’t published, so budgeting past the free tier means talking to their team first.
Against Airtable automations or Make, Pipefy is narrower and more opinionated — built specifically for approval-style processes rather than general-purpose workflow automation.
