Where it breaks

Smartsheet's own pricing page lists Pro above Business in price ($129 vs. $24 per member/month) despite Business being the more feature-complete tier and carrying the 'Most Popular' label — this looks unusual for a tiering structure and is worth double-checking directly on smartsheet.com/pricing before budgeting, in case the page has a display or sequencing quirk at the time of your visit.

Smartsheet is the tool a lot of large organisations run project and resource tracking through without most employees realising it’s Smartsheet — it looks like a spreadsheet, works like a project tracker, and is used by the majority of the Fortune 500 for exactly that combination. For a small business, it’s a heavier and pricier option than something like Airtable, but it buys genuine enterprise features — portfolio-level views, resource management, audit-grade permissions — that lighter tools don’t attempt.

The AI features are modest compared to a purpose-built AI product: Smart Assist and Smart Columns help write formulas and summarise sheet contents, which saves time for someone who isn’t fluent in spreadsheet formula syntax, but this isn’t an assistant running your project for you. The automation engine — up to 250 runs a month on Pro, unlimited on Business — is what actually does unsupervised work, firing status updates and reminders on a schedule without anyone triggering them by hand.

A pricing oddity worth flagging

At last check, Smartsheet’s own pricing page showed Pro priced higher than Business per member per month, despite Business carrying more features and the “Most Popular” label — the reverse of what you’d expect from a standard good-better-best ladder. This could be a display quirk, a genuine repositioning of Pro as the premium single-team tier, or a page error; confirm current figures directly before budgeting off the numbers here.

Against the alternatives

Against Coda or a lighter records tool, Smartsheet is the pick when the organisation already runs project management at spreadsheet scale and needs genuine enterprise controls — SSO, audit logs, portfolio views — rather than a flexible team wiki. A small team without that scale is very likely better served by something lighter and considerably cheaper.
