What you'd use it for

Getting a client-facing proposal out the door with the right pricing, the right sign-off, and a content library behind it, rather than assembling one from scratch each time.

  • Draft an introduction, scope-of-work section or pricing rationale from a brief, one section at a time, rather than the whole proposal in one shot
  • Pull standard blocks such as case studies, bios and legal boilerplate from a shared content library instead of rebuilding them each time
  • Route a proposal to a manager for approval before it reaches a client, triggered automatically by deal size or discount size
  • Get notified and see page-by-page engagement data the moment a prospect opens a sent proposal
  • Collect a legally binding e-signature on the same document, without a separate tool

The verdict

Proposify suits a team that already needs a sign-off step and a shared content library, not a freelancer sending the odd proposal. The controls that justify the price — roles, approval workflows, SSO — only show up on the Business tier, which is quote-based and starts at $3,900/year rather than being sold per seat. If proposals are the whole job and volume is real, it earns its cost; if you send a handful a month alone, the discipline it buys isn't worth the account behind it.

What it costs

Tier Price For Includes
Basic $19/user/month billed annually, or $29/user/month billed monthly A freelancer or small agency sending occasional proposals. Proposal editor, e-signatures, document tracking, content library, 10 document sends a month, 1 collaborator seat.
Team $41/user/month billed annually, or $49/user/month billed quarterly An agency that needs proposals synced with its CRM and pricing catalogue. Everything in Basic, plus integrations and automations, metrics, custom fields and variables, a pricing catalogue, 30 sends a month, 3 collaborator seats.
Business Custom pricing, starting at $3,900/year An organisation that needs role permissions, SSO and an API. Everything in Team, plus user roles and permissions, approval workflows, SSO (Okta, Azure, Salesforce), API access, multiple workspaces, 75 sends a month, 5 collaborator seats.

What you need to start

  • A 14-day free trial with no credit card, but a paid plan afterwards — there is no permanent free tier
  • Business is quote-based rather than self-serve — pricing, seat count and billing terms are set on a call rather than posted, so approval workflows, SSO and API access come with a book-a-demo step instead of a listed price
  • A separate CRM connection such as HubSpot or Salesforce if proposal pricing or deal data needs to sync automatically rather than being entered by hand

Under an hour to send a first proposal from a template; a working content library and approval rules take closer to a day once the trial gives way to how the team will actually use it.

Your first run A first real proposal comes from picking one of Proposify's ready-made templates, filling in the content library, and sending it to a real client during the trial — Proposify itself describes the early stretch as having a learning curve, so budget more than an hour before the first one goes out.

Where it breaks

Browser-based editor; sends beyond each tier's monthly allowance cost an extra $0.30–$0.75 per document depending on plan.

When not to use it

Not for a solo consultant or small team sending a handful of proposals a month — Basic and Team's per-seat pricing, plus the jump to a custom-quoted Business tier to reach approval workflows and SSO, mean paying for team infrastructure nobody is there to use. Not for anyone wanting one tool for contracts and proposals together; Proposify only covers the proposal stage.

A proposal is one of the few sales documents where the design and the approval process matter as much as the words — a beautifully written proposal that goes out with last quarter’s pricing, or without a manager’s sign-off, causes real problems. Proposify is built around that reality: a content library of reusable sections, a locked approval step before anything reaches a client, and tracking that tells you the moment a prospect opens the document.

The AI layer drafts each section from a brief rather than generating the whole proposal in one shot, which fits how agencies actually work — pull in the standard scope-of-work block, let AI draft the custom introduction and pricing rationale, keep the legal boilerplate untouched. It’s a narrower, more controlled use of AI than a general writing tool, which is the right shape for a document that’s going to be legally binding once signed.

Pricing runs per user with a monthly document-send cap baked into every tier, which is worth checking against actual proposal volume — an agency sending more than 30 proposals a month on the Team plan will start paying the per-document overage fee, and that can add up faster than upgrading a tier would. Business is where role permissions and SSO show up, relevant once a proposal needs sign-off from someone outside the immediate sales team.

Against PandaDoc, the practical difference is emphasis: PandaDoc leans toward contracts and e-signature workflows generally, while Proposify stays focused on the proposal-and-pitch stage specifically, with a content library built for that one document type rather than documents in general.
