Tana
An AI meeting agent that joins your calls, transcribes and structures what was discussed, and turns it into action items and records, aimed at founders and teams who run their business through meetings.
What you'd use it for
Turning your meetings into structured, searchable records automatically, so a call becomes a tagged note or a filed ticket instead of something you have to write up yourself afterwards.
- Join a Zoom, Teams or Google Meet call with a botless AI agent that no one on the call sees as a separate participant
- Get an automatic transcript and summary from every hosted meeting, in any of 33 supported languages
- Turn what was said in a meeting into a structured, tagged record you can filter and query later, not just a transcript
- Route action items straight into GitHub, Linear, Slack or Jira instead of copying them over by hand
- Run AI queries against your meeting history, 50 a month on the free tier and far more on paid plans
The verdict
Tana has quietly become a meeting-notes tool with a structured-notes engine underneath, not a general notebook with a meeting feature bolted on — the free tier is scoped around five hosted meetings, not five hundred notes. It earns its keep for teams whose real problem is that useful decisions get made on calls and then nobody writes them up properly, especially once you're paying for the botless agent and the MCP integrations Pro adds. It is a genuinely close alternative to Fireflies or Otter with an unusually strong notes engine behind the transcript, not a replacement for a personal knowledge base — anyone who wanted the old supertag-and-outliner experience should look at Tana Outliner instead, since that is now a separate product at a different address.

What you need to start
- A Tana account to run the agent, though guests can join a hosted call from a link with no account or desktop app
- At least one calendar connected, so the agent knows which meetings to join
- A Zoom, Microsoft Teams or Google Meet account for the meeting itself, since the agent joins as a call participant
Minutes to create a free account and connect a calendar; the agent is live on your very next scheduled meeting with no separate setup step.
Your first run Connect a calendar and host your next meeting with the agent on the call; a transcript, summary and structured notes are waiting the moment it ends, so the first real result lands with your next meeting rather than after any setup work.
Where it breaks
Pro and Max are both shown at an early-bird rate that is one-third to one-third-and-a-half below the stated regular price — confirm which rate applies before budgeting past the trial.
Browser and desktop app. The AI meeting agent joins calls without a visible bot participant, which some teams prefer over a named notetaker sitting in the call.

When not to use it
Not for anyone who actually wants the old Tana Outliner experience — a personal knowledge base built on supertags, daily notes and long-form outlining — since that product now lives separately at outliner.tana.inc with its own pricing. Also not for solo operators without many meetings worth transcribing: the free tier is rationed in meetings, not notes, so light meeting volume gets little value from it.
Tana’s core idea is that notes should not stay flat text forever. Feed it a meeting — the agent joins the call, transcribes it, and the system turns what was said into a structured, tagged, queryable record — a “type” for a person, a decision, or a project — rather than leaving you with a transcript to write up yourself.
Tana split into two products in April 2026
Tana used to be a general personal-knowledge-base app: type or speak into it and it built a structured, tagged database out of your notes using “supertags,” in the mould of Roam or Obsidian but with less manual tagging. In April 2026 that product and the current one parted ways. The original notes and outlining tool now lives separately at outliner.tana.inc under the name Tana Outliner, with its own pricing (Free, Plus at $8/month, Pro at $14/month) and its own supertags-and-outline-editor model. What sits at tana.inc today, and what this entry is priced against, is a different product: a meeting agent first, with the structured-notes engine repurposed to turn call transcripts into records rather than freeform notes.
The meeting layer is the whole product now
Pricing puts meeting capture front and centre — the Free tier is scoped entirely around “5 meetings a month with AI transcripts,” and Pro’s headline feature is a botless agent that joins Zoom, Teams and Google Meet calls without a visible participant tile. This is a meeting-notes competitor to Fireflies or Otter, with a structured-records engine underneath it, not a general knowledge base.
Against Notion, the honest comparison is flexibility versus structure: Notion asks you to build your own database schema by hand, Tana tries to infer structure from what you write. Pick Tana if that automatic structuring is worth the steeper initial learning curve.
